# Encuadrado

> How to connect your Encuadrado clinic calendar to a ChatNorris agent so it checks real availability and creates verified bookings, and how to set up the services, availability, and the details requested from the patient.

# Encuadrado

With the Encuadrado integration, your ChatNorris agent serves your clinic calendar's patients without them leaving the chat. Depending on what you turn on, the agent:

* identifies which service the patient is interested in;
* checks the real available times in your calendar and offers them;
* collects the details the booking requires, shows a summary, and only after the patient **explicitly confirms** does it create the booking.

It never books automatically in the middle of the conversation. It works in the web widget, WhatsApp, Instagram, Messenger, Telegram, Email, and the API.

## Requirements

* A ChatNorris account on the **Standard** or **Premium** plan. You can see the plans at [chatnorris.ai/pricing](https://chatnorris.ai/pricing).
* At least one agent created in ChatNorris. If you don't have one yet, follow [Create an agent](https://docs.chatnorris.ai/en/guias/crear-agente-wizard.md).
* An Encuadrado account and the professional's API key.
* **Owner** or **Admin** role in your ChatNorris organization.

## Connect Encuadrado

Each agent connects to one Encuadrado account.

**1. Open the agent's Integrations hub**

In ChatNorris, go to `My agents → [your agent] → Integrations` and choose **Encuadrado**.

**2. Paste the API key and connect**

Paste your Encuadrado API key in **API key** and click **Connect**.

**3. Test the connection**

Use **Test connection** to confirm the key works before configuring the Action.

The API key is stored encrypted and is never shown in plain text. If you change the key in Encuadrado, paste the new one with **Replace key**.

## Configure the Action

Connecting the account doesn't turn anything on yet. To choose what the agent does:

**1. Create the Encuadrado Action**

Go to `My agents → [your agent] → Actions`, click **New action**, and choose **Encuadrado**. The **Encuadrado account** section shows the connection status.

**2. Choose what it can do**

In **What it can do**, turn on the capabilities (see the table below).

**3. Set up the services and availability**

Define which services from your calendar the agent should be able to offer and how many days and times it searches (see below).

**4. Turn on the Action and save**

With **Enabled** on, the agent uses your calendar in its conversations.

| Capability | What it does |
| - | - |
| **Check availability** | Checks real times and offers them to the patient. On by default. |
| **Create bookings** | Collects details, asks for explicit confirmation, and creates the booking. Requires **Check availability**. |

Without **Create bookings**, the agent only offers times and the service's public link so the patient books on their own, and it doesn't ask for personal details.

> [!WARNING]
>
> **Create bookings** creates real appointments at the clinic: check the configured details before turning it on. **Claude Sonnet or higher is recommended** as the agent's main model (`Settings → AI`) when you turn on this capability. In tests, Haiku sometimes ignores the confirmation and replies as if the booking were already made. The action's form shows this notice with a link to the AI settings.

### When to use

In **Behavior**, the **When to use this action** field comes with default text you can adapt: when the patient wants to know times or book, and that the service is identified first. With **Restore default text** you go back to the original.

### Services

In **Services**, add each service the agent can offer. Each one needs its Encuadrado **Service UUID**, which you get from the URL when you edit the service in the Encuadrado dashboard.

| Field | What it's for |
| - | - |
| **Name** and **Description** | How the agent identifies and presents the service. |
| **Service UUID** | The service's identifier in Encuadrado. Without it, the service can't be looked up. |
| **Duration (min)** | How long the appointment lasts. |
| **Modality** | **Online**, **In person**, or **Home visit**. |
| **Price** | The price the agent quotes. |
| **Public link** | The service's booking page. The agent offers it when it can't confirm a time or the date is outside the search range. |
| **Professional name** | Who provides the service. |
| **Issues an electronic receipt** | The service issues a receipt (boleta): the booking also asks for the address and comuna. |
| **Requires prepayment** | The patient has to pay to confirm the appointment. |
| **Enabled** | Whether the agent can offer this service. |

With **New services issue a receipt by default** and **New services require prepayment by default**, you choose how each service you add starts out.

> [!NOTE]
>
> For services that issue a receipt, the agent validates the patient's comuna against the official list. Bookings follow Chile's time zone (`America/Santiago`).

In a service with prepayment, the time is held temporarily: the agent gives the patient the payment link and the deadline to pay, and doesn't tell them the appointment is booked. If they don't pay in time, the slot is released.

### Availability

| Option | What it does |
| - | - |
| **Lookahead days** | Up to how many days from today the agent searches for times (1 to 60; 14 by default). |
| **Slots offered** | How many times it offers at once (1 to 10; 3 by default). |

If the patient asks for a date further out than **Lookahead days**, or there are no times in that range, the agent explains it and offers the nearest times or the service's public link.

### Account-level required data

These details are requested in every booking, in addition to those each service requires (receipt → address and comuna):

| Data | Detail |
| - | - |
| **Email** | Required to confirm the booking. On by default. |
| **Phone** | Stored only as a hash. |
| **RUT** | Used only for the booking; never stored. |
| **Date of birth** | Used only for the booking; never stored. |
| **Terms and conditions** | Requires the patient's explicit acceptance. |

### How the patient books

1. The agent identifies the service and checks the real available times.
2. If **Create bookings** is on, it asks for the required details, summarizes the appointment (service and time), and waits for explicit confirmation. See which replies count as confirmation in [Visitor confirmations](https://docs.chatnorris.ai/en/guias/acciones.md#visitor-confirmations).
3. Only then does it create the booking and tell the patient. If Encuadrado doesn't confirm the booking, the agent doesn't say it was booked and doesn't retry on its own: it asks the patient to check with the clinic or through the public link.

> [!WARNING]
>
> In the **Playground**, Encuadrado bookings are real. If the agent has this Action, before the first message you'll see the notice **This test can create real data**. See [Test an agent](https://docs.chatnorris.ai/en/guias/chatbots.md#test-an-agent).

### Appointments in Leads and in your CRM

Appointments booked by the agent with Encuadrado appear in [Leads](https://docs.chatnorris.ai/en/guias/leads.md), in the **Appointment** column and in the **Appointments** section of the lead's details. If the agent also has the [Pipedrive](https://docs.chatnorris.ai/en/guias/pipedrive.md) Action with **Log booked meetings**, each confirmed appointment is logged on the Pipedrive Lead as a **Meeting** activity.

With a scheduling action ready, asking for a meeting or a call isn't a handoff, even if the visitor names an account executive or advisor: the agent offers them times. See [Human Handoff](https://docs.chatnorris.ai/en/guias/acciones.md#human-handoff).

## Disconnect

In `My agents → [your agent] → Integrations → Encuadrado`, click **Disconnect**. The Encuadrado Action is disabled and keeps its configuration, and the API key is deleted from ChatNorris. To use it again, connect the account again and re-enable the Action.

## Frequently asked questions

> [accordion] Where do I connect the Encuadrado account?
>
> In **Integrations**, each agent's central hub, not on the Action's screen. See [Integrations](https://docs.chatnorris.ai/en/guias/integraciones.md).

> [accordion] The agent doesn't offer a service that does exist in Encuadrado
>
> Check that the service is added in **Services**, with its **Service UUID** and **Enabled** on. The agent only offers the services configured in the Action.

> [accordion] Why doesn't the agent create the booking and only share a link?
>
> The **Create bookings** capability is off: in that case, the agent only offers times and the service's public link. Turn it on in **What it can do**.
